Job Title: Administrative Support (Part-Time, Hourly) Organisation: Project Flamingo Location: Cape Town-based (with occasional travel to Somerset West) Contract Type: Hourly contract Time Commitment: 20 hours per week Contract Duration: 6 months (with potential of renewal based on funding income and project requirements)


About Project Flamingo

Project Flamingo is a South African non-profit organisation working within the Public Healthcare system to ensure women with breast cancer receive timely, dignified care. We operate in partnership with state hospitals across multiple provinces, strengthening existing systems through surgery programmes, patient support, and practical interventions that make a real difference.


As our work has grown, so has the need for strong operational support behind the scenes.



The Role

We are looking for a highly organised, reliable Administrative Support professional to provide essential day-to-day operational assistance to the COO and CEO. This role forms the backbone of our operations, ensuring that administration, documentation, data, and logistics run smoothly, consistently, and transparently.


This is an ideal role for someone who enjoys bringing order to complexity, thrives in a mission-driven environment, and understands the importance of accuracy and follow-through in healthcare-adjacent work.



Key Responsibilities

Administration & Coordination

  • Scheduling meetings and coordinating calendars

  • Taking and distributing clear meeting notes and action items

  • Managing and triaging inbox correspondence across platforms

  • Supporting meeting preparation and follow-ups

  • Making travel bookings for volunteers and staff members (flights, accommodation, logistics)

Documentation & Systems

  • Managing document filing and version control on shared drives

  • Ensuring organisational records, IP, and processes are well documented

  • Preparing internal templates, summaries, and basic reports

Data & Compliance

  • Supporting DataWings administration for surgery list days

  • Ensuring accurate logging of patient and volunteer data

  • Assisting with donor receipting and Section 18A administration

Procurement, Logistics & Stock Management

  • Ordering and tracking Pamper Pack supplies

  • Coordinating packing and distribution

  • Monitoring storage and inventory levels

  • Performing occasional deliveries and collections of supplies and documents

  • Supporting stock movement to and from our storage unit in Somerset West

Volunteer Support

  • Updating volunteer databases

  • Assisting with volunteer communications and coordination



Requirements

  • Cape Town-based

  • Valid South African driver’s licence

  • Access to a reliable vehicle (for occasional deliveries and pick-ups)

  • Ability to travel occasionally to our storage unit in Somerset West (compensated travel allowance)

  • Strong administrative and organisational skills

  • High attention to detail and respect for data accuracy

  • Comfortable working independently and managing multiple tasks

  • Confident with Google Drive / shared filing systems

  • Clear, professional written communication skills

  • Experience in NGO, healthcare, or operations support is advantageous

  • An understanding of confidentiality and ethical handling of sensitive information
